IAGLR Privacy Policy

Introduction

This Notice explains how the International Association for Great Lakes Research (“IAGLR,” “we,” “our,” or “us”) collects, uses, shares, and safeguards personally identifiable information (“Personal Information”) that we gather when you use our Services.

IAGLR relies on third-party vendors to perform certain functions vital to the delivery of our Services. This policy does not apply to the practices of companies that IAGLR does not own or control, or to individuals that are not part of IAGLR (as employees, members of the IAGLR Board of Directors, and committee members). The privacy policy displayed on those sites, and not this Privacy Policy, may govern the collection, use, and sharing of information.

By using IAGLR’s products and services such as participating in our events and/or visiting our Site (iaglr.org) and any other linked pages, features, content, or application services offered from time to time by IAGLR in connection therewith (collectively, the "Services"), you acknowledge that you accept the practices and policies outlined in this Privacy Policy. Each time you use our Services, the current version of this Notice will apply. Accordingly, whenever you visit our Site, you should check the date of this Notice and review any changes since the last version. This Notice is applicable to all Site visitors.

Who we are

The International Association for Great Lakes Research is an independent scientific organization made up of researchers studying the Laurentian Great Lakes, other large lakes of the world, and their watersheds, as well as those with an interest in such research. Our mission is to advance understanding of the world’s great lake ecosystems. We carry out this mission by holding conferences, publishing a journal, giving out awards and scholarships, sharing compelling stories about large lake research, and partnering for impact.

IAGLR is a U.S. nonprofit, tax-exempt charitable organization (tax id number 38-2689988) under Section 501(c)(3) of the U.S. Internal Revenue Code. Our registered address is 4840 South State Road, Ann Arbor, MI 48108.

Information we collect

The information we gather from you enables us to provide and improve our Services. We collect the following information:

Personal Information you give us: We collect and store information you enter on our website or provide to us in another way. The types of Personal Information we collect include your name, email address, phone number, credit card and/or payment information, username, password, professional and academic information such as graduation date, photographs, demographics, and other information necessary for us to provide our Services. You can choose not to provide us with certain information, but then you may not be able to take advantage of some Services. The Personal Information you provide is used for such business purposes, including but not limited to applying for membership, registering for an IAGLR event, subscribing to a service, participating in our scholarship and award process, or otherwise interacting with the IAGLR.

Information automatically collected: We use Google Analytics to analyze web traffic and behavior to improve the performance of our Site. In doing so, we automatically receive and store certain information when you visit, use, or navigate our site. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our sites, and other technical information. This information is primarily needed to maintain the security and operation of our sites and for our internal analytics and reporting purposes. How we use your information

We use your information in a variety of ways including, but not limited, to the business purposes listed below:

  • Fulfill and/or deliver IAGLR Services (e.g., membership renewal reminders, conference reminders, election information, publication distribution)
  • Provide information and services you request or that we think you may be interested in (e.g., events, jobs, news, deadlines)
  • Deliver and process surveys
  • Improve the usability of our sites.

How we share your information

Respecting your Personal Information is important to us; as such, we share your Personal Information only as described below. We neither rent nor sell your Personal Information to anyone.

Agents: We share your Personal Information with other companies and people to perform services on our behalf and need to share information with them to provide our Services to you. Examples include but are not limited to payment processing, data analysis, email delivery, hosting services, conference coordination, database management, and subscription fulfillment. Agents do not have any right to use Personal Information we share with them beyond what is necessary to assist us. You hereby consent to our sharing of Personal Information for the above purposes.

Legal obligations: We may disclose your Personal Information where we are legally required to do so to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena (including in response to public authorities to meet national security or law enforcement requirements).

Vital interests: We may disclose your Personal Information when we believe in good faith that release is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person, and illegal activities, or as evidence in litigation in which we are involved.

With your consent: Except as described above, you will be notified when your Personal Information may be shared with third parties and will be able to prevent the sharing of this information.

How you can manage your personal information

We rely on you to update and correct your Personal Information. To review and update your Personal Information, log into your accounts on our online Services or contact IAGLR via the information provided in the How to contact us section above.

Typically, we retain your Personal Information for the period necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.  This may include retaining your Personal Information indefinitely, even after you are no longer an IAGLR member, or when an event for which you have registered has concluded. We may contact you to provide you with future marketing opportunities and other purposes, as well as to comply with our legal obligations, resolve disputes, or enforce any of our agreements.

Please note that you can request, at any time, that we delete your Personal Information. See the How to contact us section above. We can decide to delete your Personal Information if we believe it to be incomplete, inaccurate, or that our continued use and storage are contrary to our obligations to other members, individuals, or third parties. When we delete your Personal Information, it will be removed from our active databases or anonymized so that the data is no longer identified with you, but the data may remain in our archives if IAGLR determines that it is not practical or possible to delete it.

How we protect personal information

IAGLR implements reasonable security measures to help protect against unauthorized access to or unauthorized alteration, disclosure, or destruction of data. Unfortunately, no data transmission over the Internet or electronic storage is fully secure. Accordingly, and despite our reasonable efforts to protect your Personal Information from unauthorized access, use, or disclosure, IAGLR cannot guarantee or warrant the security of the Personal Information you transmit to us, or to or from our website.

What choices you have

You have several choices regarding your privacy and Personal Information:

Cookies and similar technologies: Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our sites.             

Email: You may choose to stop receiving emails from us at any time by following the unsubscribe instructions included in these emails, updating your contact preference in your membership profile, or contacting us via the information listed in the How to contact us section above. However, we will still need to send you service-related emails that are necessary for the administration and use of your account or the delivery of our Services to you.

Member directory: Current members may choose whether they would like to appear in the Member Directory. The default setting is “opt out.” Members may log into their account at any time to change this selection.

Member demographics: You may choose whether to respond to many of the questions in your member profile, including all demographic questions. Demographics are not included in your profile that appears in the member directory. Instead, they are used for internal purposes only to inform our program delivery and our efforts to better understand our current culture and monitor our progress toward becoming a more diverse, inclusive, and equitable organization.

Cookies and other tracking technologies

Cookies are alphanumeric identifiers that we transfer to your computer’s hard drive through your browser to enable our systems to recognize your browser and tell us how and when pages in our website are visited and by how many people. We use cookies to enhance visitors’ experiences, to learn more about their use of the Services and to improve quality.

Cookie settings can be controlled in your Internet browser to automatically reject some forms of cookies. If you view our Site without changing your cookie settings, you are indicating your consent to receive all cookies from our site. If you do not allow cookies, some features and functionality of our sites may not operate as expected. In addition to cookies, we place technological tools (and allow certain third parties to place technological tools) such as tags and beacons [e.g., code scripts that are primarily used to track visitors’ activities on our sites by web analytics software], Internet Protocol (IP) addresses, and other tools, to collect your data for the purposes listed in this Privacy Policy.

Linking to other Internet sites

Other Internet sites that are linked from our Site or from an IAGLR email message may contain privacy provisions that differ from the provisions of this Privacy Policy. To ensure your privacy is protected, we recommend that you review the privacy statements of these other linked sites, applications, or other digital platforms. This includes our conference platform.

Changes to this Privacy Policy

We may amend this Privacy Policy from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible. If we make material changes to this Privacy Policy, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Policy frequently to be informed of how we are protecting your information. Your continued use of our services constitutes your acceptance of the practices described in our Privacy Policy.
